General
North Wales Holiday Cottages & Farmhouses (NWHC&F) is a holiday letting agency acting on behalf of the owners of privately owned holiday properties in North Wales. Bookings are made by NWHC&F on behalf of owners and NWHC&F has the right to refuse any booking.
A contract for a letting is made between the person who completes the booking form and the owner of a property on the issue of a confirmation of booking by NWHC&F. That person also is deemed to have accepted these ‘Booking conditions’ on behalf of all the members of their party and is responsible for informing them of these. In cases where the completion of a booking form is not required, the contract is with the person who pays the deposit and that person is also deemed to have accepted these ‘Booking conditions’ on behalf of all the members of their party and is responsible for informing them of these.
Bookings are for holiday purposes only and cannot give rise to a tenancy.
Making payment
The deposit of 20% of the total cost of the rental (including supplements) or £105 per week, whichever is the greater, and the booking fee of £15 are payable within seven days of NWHC&F making a provisional reservation and issuing a booking reference, and are non-refundable. NWHC&F will only consider a refund in the case of cancellation on account of the death, injury or illness of a party member in respect of party members whose names are entered on the booking form.
Your final account, which NWHC&F issues with confirmation of your booking on receipt of the deposit, becomes due for settlement six weeks before the start of the holiday. NWHC&F does not issue reminders and reserves the right to cancel the booking if payment is not received by the due date. Reservations for less than one week are payable in full at the time of booking.
Once a confirmation of booking has been issued, you are legally liable for the full balance payment. In the event of alteration or cancellation, charges will be payable as set out below. You should therefore ensure that you take out insurance to cover the full rental cost in case of cancellation.
Rental prices
The prices shown are cash prices. Payments may be made by cheque, or by one of the following cards: Mastercard, Maestro, Visa, Visa Electron and Solo.
Fuel supplements are payable in respect of some properties (see individual property descriptions). Where applicable, these are charged from mid-September to the end of May and are payable to NWHC&F in full with the balance payment.
Some owners may require a cleaning / damage deposit, particularly where pets are allowed. Details will be given with travel information and agreement and settlement will be between you and the property owner.
Property descriptions
All the properties listed are privately owned and are let for self-catering holidays by NWHC&F on behalf of the owners. Every care has been taken in preparing the description of each property and they give the essential details of every property. NWHC&F also tries to ensure that the pictures that accompany each property description give as accurate an impression of the property as possible. However, slight changes to properties, and in particular to furnishings, may have occurred since details were placed on this website. NWHC&F cannot be held responsible if, on arrival, the property does not meet your expectations.
Unless otherwise stated in an individual property description, each property has car parking, full-sized cooker, kettle, refrigerator, iron and colour television. Beds will be made up with fresh linen. Towels are not supplied unless mentioned in the description.
Alterations or cancellation by you
Once your holiday has been confirmed, you are legally liable for the full balance payment and, if you wish to make any alterations or cancel the booking, you must notify NWHC&F in writing at the earliest possible opportunity. NWHC&F will acknowledge all alterations and cancellations in writing within seven days and, if you do not receive an acknowledgement within this timescale, you should contact us immediately.
Once confirmation of a booking has been issued, if you wish to make any alterations to the date of the booking or the property chosen, NWHC&F will make an administration charge of £30, which will be payable at the time the new booking is confirmed. However, a request for alterations received 8 weeks or less before the start of the holiday will be treated as a cancellation and re-booking.
In the event of a cancellation, NWHC&F will make every effort to re-let the property but you will be liable to pay the full rental cost if this is not possible. Under certain circumstances (see below) NWHC&F may accept the cancellation of a booking and agree to refund payments made, less an administration charge of £50 per week or part-week. The decision as to whether to issue a refund is entirely at the discretion of NWHC&F and no correspondence or communication will be entered into in respect of such a decision. By making a booking and paying a deposit you are deemed to accept these terms and conditions.
Refunds may be given if you have to cancel for any of the following reasons, in which case you must submit a medical certificate or other documentation to substantiate the need to cancel to enable NWHC&F to consider making a refund:
1. Death, injury or illness of the person who paid the deposit, a close relative or close business associate of theirs or of any party member named on the booking form.
2. Pregnancy of the person who paid the deposit, or any party member named on the booking form, that occurs after the booking was made.
3. Jury service or occupational posting of the person who paid the deposit, not known or reasonably predicted at the time of booking.
Where cancellation is for any other reason, NWHC&F will do its best to re-let the property but you will remain liable for the full balance payment on the due date. You should therefore ensure that you take out insurance to cover the full rental cost in case of cancellation. If the property is re-let, NWHC&F will refund the balance payment and fuel supplement only, irrespective of when the booking was cancelled.
NWHC&F is however always prepared to consider transferring a booking to another customer, in which case an administration charge of £30 is payable.
Alterations or cancellation by NWHC&F or the owner
Where an owner is unable to honour a booking, NWHC&F will make every effort to offer a suitable alternative property. If this is not possible, a full refund of all monies paid will be made. Neither NWHC&F nor the owner shall be liable for any further compensation.
Occupying your holiday property
Directions for reaching the property, instructions for obtaining the key and the name and telephone number of the owner / custodian will be issued on receipt of the final payment. Properties can be occupied from 15.00 on the day of arrival until 10.00 on the day of departure, except for short breaks where variations may be agreed by prior arrangement with the owner of the property.
The number of people occupying a property must not exceed the number stated in the property description.
Where pets are welcome, it is on the condition that they are not allowed on the furniture and are never left in the property unattended. Some owners will require a refundable deposit. Where there is evidence that these conditions have not been adhered to, future bookings may be refused.
Properties must be left in a clean and tidy condition with storage heaters, where supplied, left on and fully charged. You are liable for any damage beyond normal wear and tear.
Complaints
Occasionally things can go wrong. If there is a problem, in the first instance you should contact the owner or custodian of the property. If they are unable to help, you should contact NWHC&F immediately. NWHC&F regrets that it is not possible to consider complaints once a property has been vacated.
Liability
Neither NWHC&F nor the property owner is liable for any unexpected or unusual circumstances which are outside their control, such as severe weather conditions, failure of public utilities, fire, flood, drought, acts of riot, etc and which may lead to facilities offered on this website becoming unavailable for all or part of the rental period.
